Booking with us

The booking form can be completed either through our website, over the phone or via email.

 A £100 booking deposit is required at the time of booking.

The booking contract will be confirmed in a confirmation email. We will send this once we have received the booking deposit and a signed copy of our hire terms and conditions.

Your booking is not secure until these 3 items are completed.

We require the balance of the hire fee to be paid at least 60 days before the date of hire (unless a late booking is made then we ask for the full hire fee a maximum of 5 days after booking is completed.)

Unforeseen circumstances

As we run a small, predominantly ‘retro’ van business, there is the potential for unplanned events to arise which may result in the van you hired being unavailable. Should this occur, we will endeavour to provide you with an adequate replacement. If an adequate vehicle replacement is not available, we will refund your hire rate in full. We do not take responsibility for any accommodation costs lost due to vans being unavailable. For this reason, we suggest you take out travel insurance to cover for any potential losses.

Cancellations and Amendments 

Bookings can be cancelled or amended as follows:

Bookings can be cancelled or amended within 48hrs of the booking being made, with no fees, unless that booking is within 14 days of the start of the hire period (see below).

Cancellations outside 42 days (6 weeks) from the start of the rental period will receive a full refund minus a £30 admin fee.

Cancellations between 41 days and 22 days (6 and 3 weeks) from the beginning of the rental period will receive a 75% refund minus a £30 admin fee and the booking deposit.

Cancellations between 21 days and 15 days (3 and 2 weeks) from the beginning of the rental period will receive a 50% refund minus a £30 admin fee and the booking deposit.

Cancellations made 14 days (2 weeks) and under will receive NO refund.

Booking dates and rental periods may be adjusted up to 6 weeks prior to the original booking date for a £30 admin fee(for the same van (if availability allows)).

The Hirer and insurance 

Our vans come with the cost of insurance included in the price. That being said, there are criteria that still have to be adhered to. Please also note that in the case of an accident the excess fee on the insurance is to be paid by the hirer/driver of the vehicle at the time of the incident. 

The excess rates are age dependent; for drivers 23 and 24 the excess amount is £700. for drivers aged 25-79 the excess fee is £500

The driver criteria are as follows:

  • are not under the age of 23 or over 79 years of age.
  • has held a full UK, EU,  AU, US, CA, NZ or SA licence for a minimum of 2 years.
  • has not had their licence suspended for any period within the last three years.
  • has not been involved in more than one fault incident within the last three years.
  • has no more than two convictions with a maximum of 3 points per conviction. (sp30 speeding offences only)
  • a single 4 point offence
  • has not obtained a BA,DD or UT conviction 
  • Single 6 point SP30, SP50 and CU80 convictions are acceptable subject to a £1000 excess. 

If you do not match these criteria please call us before booking, we can contact our insurers to discuss the potential options.

Please note, we will complete a drivers licence check for each driver before we release the vehicle to you. If you arrive to collect a van and do not fall into our criteria (or don’t have a pre-agreed solution made with us) we will have no choice but to refuse you hire with no refund.

We will need to collect an amount of documentation before you take the vans; for every driver of the van we will need to collect the following:

  • A drivers licence copy
  • two proofs of addresses from the following sources:
    • Electricity (bill/statement) 
    • Water (bill/statement)
    • Gas (bill/statement)
    • Broadband/Landline
    • Council tax
    • TV licence
    • Bank Statement
    • Credit card bill / statement
    • Mortgage statement
    • Polling card
    • HMRC self-assessment / tax credit
    • Student loan
    • Shotgun licence
    • Payslip
    • Mobile Phone Bills
    • Pension letters
    • Car Finance Statement 
    • Loan Statement
    • Property deed 

An annual council tax bill will be accepted. All other documents must be dated within 90 days of the hire date. The address & name on your licence must match both documents. 

If you arrive without the correct documentation, we reserve the right to refuse rental with no refund offered.

We ask all documents be sent by email at least a week before your date of hire. This allows us to print and check all information before your arrival to minimise the chance of hiccups. It will hopefully also make your time with us as short and sweet as possible to allow you to get out and about in your Kooky Campervan. Please still bring the proof of address and your drivers licence, for each driver, with you as we will still need to cross check them against the ones you sent through.

Pets

We allow pets in our vans. We charge £10 per pet. Please call before booking to check the suitability of our different vehicles for different animals. 

Note, if your pets cause a significant mess/smell in the van please rectify this before its return to us. The cost to repair damage caused by pets will be recovered from the hirer.

Smoking

Please do not smoke in or near the vans. We will charge an excess cleaning fee for vans returned smelling of smoke.

Our vans

Our fleet are classic vehicles. They cannot be driven or treated like brand new cars. There are a few rules that we ask you to stick to, to look after them. If it can be reasonably argued that damage was incurred as a result of not following this guide (I.e., throwing a rod, forcing the van into gear, visible damage underneath from driving on unsuitable roads.) we will charge you the cost of any necessary repair work/replacement parts and add an 11% fee on top of any damage that occurs. For admin and potential loss of earnings. We cannot be held responsible for negligence on your part.

We ask you to check oil, coolant and tyre pressure before starting any longer journey and also after the van has been parked up for over 24 hrs. 

If a warning light appears on the dashboard, we ask you to pull over at the next safe and legal opportunity and switch the engine off to investigate. In this circumstance we also ask you to call either us or the RAC.

The top speed of our vans is 60mph. Please do not exceed this, it can put massive strain on the engine and potentially damage it beyond repair. Please remember these vehicles are vans and quite possibly the largest and heaviest vehicles you have driven. Remember that you are on holiday so please drive accordingly. Anticipation of an approaching corner or hazard can save you fuel and help us reduce servicing costs. Taking a considerate and polite approach to other road users will enhance your holiday experience and reduce wear and tear on our campervans.

When parking, use your holiday friends to watch the corners.

Until you are acclimatised to the size of the van it is best to adopt the mentality that Slow is Pro!

Please double check the fuel type when refuelling the vehicle, misfuelling can be an expensive and damaging mistake. We will charge you to rectify your mistake should it occur.

Do not use our vehicles off road. 

Most of our vans have a straight cut first gear. This means that 1st can only be selected when the van is stationary. Do not force the gear stick into 1st when the van is moving as you could seriously damage the gearbox. 

We would like to remind you that the rules of the road still exist and should be followed. Courteous driving costs nothing and will improve your holiday experience. 

We cannot vouch for the water quality in our vehicles. Whilst it’s okay to clean dishes and shower, we don’t suggest drinking it.

General rules of hire

We ask that during your hire you don’t leave the counties of Devon and Cornwall. If you would like to explore beyond this area, please discuss this with us before booking and we can see if we can accommodate your request.

Please do not use our vans for immoral or illegal activities.

Any parking fines or motoring fines/charges accrued during your use of the vehicle Is the responsibility of the hirer. Always use seat belts when in our vehicles. Do not sit in an un-seat belted seat whilst travelling in the vans.

Do not use our vehicles to tow anything. 

Make sure all fittings and equipment are secure before driving.

When using any roof rack provided, we cannot be held responsible for any injury caused to you or others, we are also not liable for the safety of items on the roof rack (in case of theft, damage or other.)

Use of BBQ’s or any cooker other than the one supplied by us is not permitted in the vans. If using a fire or BBQ outside the van, please make sure to keep it a safe distance from the van and make sure the fire is down wind of the vehicle. Please do not carry any other gas cylinders than the one we provide you. Our gas bottles are provided in a gas safe locker and are gas safety tested. Carriage of excess gas or other explosive items in our vehicles will result in immediate cancellation of hire.

Never have the fridge, or the cooker operating with gas when you are driving.

Before moving the van, always ensure the mains hook up electrical supply is disconnected.

Do not leave children unattended in or around the vans.

If you intend to use our vehicle for business use you must enquire with us before booking. We are able to refuse hire if we don’t agree with the vehicle use.

We will terminate the hire period early if these rules are broken, without refund.

Collection and return

The vans will be ready to collect from 4pm (or otherwise specified) on the day of rental. 

When you arrive, there will be an amount of admin to be completed.

Once the admin is done, we will complete a ‘van walk around’. This is an opportunity for both parties to highlight any damage/ issues with the vehicle. We will also give you a general tour of the van to familiarise you with different features etc and to do a general check over of the vehicle. 

Before you leave all vehicle drivers must sign the final rental agreement.

The van must be returned by 11am on the end date of your booking. Please note we will not refund you for an early return of the vehicle.

On return of the vehicle, we will do another walk around the van to check for any signs of damage or misuse. 

*Please note, if we reasonably deem you to not be in a fit state to drive one of our vehicles on arrival, we reserve the right to cancel your booking without refund.

Your holiday

Although there are many legal places to park and sleep in Cornwall, it’s common for them to already be occupied during busy times of the year. For this reason, we suggest you book campsites along your route in advance. Gone are the days of rocking up anywhere to stay the night. We will not be held responsible for any accommodation difficulty that may arise.

When you arrive at a campsite we suggest you familiarise yourself with the fire points, alarms and where to receive first aid.

Security Deposit

A £600 security deposit is required before or at vehicle collection. It can be paid by cash or card by the main driver of the vehicle.

Please note, the van cannot be taken away unless the deposit has been paid and cleared.

Once we have checked over the vehicle and we are happy there is no damage your deposit will be returned. This may take up to 7 days after the date of the vehicle return.

If there is damage to the vehicle, including, but not limited to, body work, windows, tyres, interior panelling etc.  we will deduct the cost to repair, replace or clean said damage before returning the balance of the deposit regardless of whether the damage was negligent, wilful, accidental or otherwise. 

If the cost to repair damage exceeds the size of the security deposit you, without recall, agree to pay the remaining sum of the monies necessary to repair the damage. 

If this situation arises, we will provide an itemised invoice of works done.

By signing this contract, you agree to pay the remaining charge within 2 days of presentation of said invoice.

Additional Charges

Tobacco (or other) smoke smell in the vehicle – a charge of £140 will be added. 

Incorrect fuel – the renter will pay the cost to resolve the issue using a professional service and an admin fee of £30. We are not responsible for any loss of rental time due to misfuelling. However, if misfuelling results in a late return of the vehicle to our depot we will apply the ‘late return fee’ below.

Lost key – if a renter loses a key, we will charge £10 to replace the key plus a £30 admin fee. In the event of the key being lost and the vehicle is undriveable, we will endeavour to bring a key to you. We will charge a fee of 50p per mile. This, however, may not be possible at the time of your choosing, if at all. If we are unable to attend, we will assist with the booking of vehicle recovery or key delivery. 

Deep clean – if the vehicle is returned to us in a manner that we deem to be excessively unclean, and beyond fair use, we reserve the right to charge a cleaning fee.

Late return – if the vehicle is returned to us later than the agreed time, the hirer will be charged a late fee of £50

Full to full fuel – when you collect the vehicle for your adventure, it will have a full tank of fuel. We ask that when you return it to us, it has a full tank again. If the fuel isn’t full on return of the van, we will charge you the cost of topping up the van back to full and a £50 admin fee.

Excess miles. Our vans are beautiful old machines that don’t like to be overworked. For that reason, we ask that you don’t exceed 120 miles per day. If you do exceed this limit, we will charge 50p per mile.

Interior damage. The cost of rectifying any damage made to the interior of our vehicles throughout the course of your rental will be removed from your security deposit. This includes any damage from cooking. 

Insurance excess. if the vehicle is damaged and we decide that the insurance company will be used, the hirer will be responsible for paying the insurance excess

Personal security 

We are not liable for any personal effects lost or damaged or for injuries sustained during your use of our vehicles. We therefore suggest you take out personal travel insurance for your trip. 

Our workshop

When collecting and returning your vehicle you will be entering a working farm environment, we ask you to drive at the signposted speed limits (10mph) and be very vigilant. Please do not allow children to roam freely either inside or out of the workshop. There are potential trip hazards and machinery. Please be aware of the surroundings when at our workshop.

Personal data

We have a legal responsibility to keep drivers details for a 12 month Period. During this time your information will be kept in a locked cabinet in our workshop. Your email will be added to our mailing list unless otherwise requested.

Our liability 

We are only responsible for damages or injury to you or others in your party, including your or their personal effects due to our negligence.

Any dispute between us and you to be governed by and construed only in accordance with the laws of England and Wales.

By signing this document you acknowledge that all of the information supplied by you is correct and true and that you agree to the terms and conditions set out on the Kooky Campervans website. That you have read all of the terms and conditions fully and understand them.

Accident damage.

in the event of an accident the hirer of the vehicle agrees to do the following:

  • to adhere to current guidance on what to do after a crash
  • to not admit fault to the accident.
  • to call kooky campervans ASAP.
  • to collect driver and insurance information from the other vehicle(s).
  • to take note of damage to any vehicles or items and to take pictures where possible.
  • to take note of the make, model, colour and reg of any other vehicles
  • make note of the time and date
  • make note of any injuries to your or other parties.

Once we are able to assess the damage caused by any incident and have seen the information and photos you’ve collected, we will make a decision on whether to involve the insurance company or fix the vans privately. 

If we choose to use the insurance company we will use your security deposit to pay the excess fee. 

Any interior damage caused by a crash will not be insured and therefore will be your responsibility. 

Any repair costs that exceed the security deposit once the insurance excess is paid for will be paid by the hirer (as discussed in the security deposit section).

Any crash that we decide to repair privately will be treated in the same manner as stated in the security deposit section of this agreement.
